Venue Policies

 

Treatment and Clean-up of Property

  • Emerson Fields staff will put away tables, chairs and remove linens from the tables.

  • Once your event is finished we ask that you clear tables of all personal items and trash but leave the table linens on the tables.

  • All personal items need to be removed from the Emerson Fields property by the end of your event, or by Sunday noon for wedding reception clients, or they will become property of Emerson Fields.

  • All trash needs to be bagged and taken out to the dumpster. Trash bags are provided in the utility room.

  • Floors need to be swept clean of trash and debris. Emerson Fields staff will sweep and mop more thoroughly once they put tables and chairs away.

  • The kitchen needs to be wiped down and all surfaces left clean. Please place used dish towels in the kitchen sink. Check the refrigerator and other appliances that have been used and wipe those down as well.

  • A cleaning fee will be deducted from the security deposit if the venue isn’t left in the same condition that it was found.

  • All events shall end by 11:30pm so music needs to be off before 11:30pm. Clients and guests should be off of Emerson Fields property by midnight. (Wedding reception clients may return the following Sunday before noon to collect belongings and clean.)


Property

  • The tables, chairs and linens are included in your venue rental and will be set up by the Emerson Fields staff.

  • You are not allowed to attach anything to the walls with tacks, nails, or sticky tack.

  • Smoking is not permitted inside the building or the patio areas.

  • The use of confetti and glitter is prohibited anywhere on the property. The use of bubbles is prohibited inside the building.

  • Candles may be used if they are completely inside a container. No taper candles or open flames.

  • No animals will be allowed inside the venue other than service animals with proper documentation.

  • Fireworks are prohibited on Emerson Fields property other than sparklers used for “send-offs”. “Send-offs” with sparklers must be held at least 25 feet away from the building. Please dispose of extinguished sparklers in a separate trash receptacle other than indoors.


Photographs

  • Emerson Fields reserves the right to obtain and use photographs for promotional purposes.

  • Photographers willing to share images with Emerson Fields will be given credit for their work and should contact us personally to give us copyright release for promotional use.

  • Engagement sessions may be done at Emerson Fields for no charge if your wedding & reception is booked through us. You will need to reserve a time and date for the session so that it does not interfere with another event on our property.


Vendors

  • Caterers and vendors are welcome but must check in with the Emerson Fields staff upon arrival.

  • Emerson Fields reserves the right to oversee, guide or refuse a vendor.

  • A caterer or responsible party must leave the kitchen area clean in accordance with the posted cleaning requirements or a cleaning fee will be deducted from the contractual party’s security deposit.

  • The DJ or band must check in with the Emerson Fields staff for proper sound system requirements and connections.


Safety

  • Children must be supervised by an adult at all times.

  • Entering or swimming is not permitted in the lake by anyone during any event.

  • Please lock all vehicles and keep your belongings supervised. Emerson Fields is not responsible for lost or stolen articles.

  • No children are not allowed to play in the fire pit area. Adults should use the fire pit area with caution and not take any fire out of that specified area.

  • Emerson Fields staff reserves the right to oversee alcohol consumption and escort any disruptive guests off of the premises.

  • Emerson Fields and its staff assumes no responsibility for alcohol consumption or designated driver arrangements. The contractual party is solely responsible for assuring the safety of their intoxicated guests upon departure.

  • Emerson Fields and its staff are not responsible for accidents.
